2025 OKTOBERFEST VENDOR APPLICATION

Important Information For Vendors

Thank you for your interest in participating as a vendor at the 64th Oktoberfest USA! Please read all information carefully as some options and terms have changed since 2024. 

In order to complete this application, you will need the following information:

  • Desired Vendor Space Size: For 2025, you'll have the choice between three tiers of vendor space:
  • 10' x 10' - spaces feature up to 15 amps of 110v power.
  • 10' x 30' -  spaces are suitable for a food truck or large merchandise trailer and feature up to 50 amps of 220v power. 
  • 10' x 30' + Operations Vehicle - spaces are suitable for a food truck or large merchandise trailer and feature up to 50 amps of 220v power. This option comes with additional space for an operations vehicle (i.e. freezer truck). If you need to bring a freezer truck to park behind your food truck for the duration of the festival, you will need to select this option. This is so we can better account for spacing and vendor layout and to make the set up experience more seamless.
  • Power Requirements: If your needs exceed the standard power offerings, you may be required to pay for our electrician to provide the power and connection you require. To help us properly plan for power requirements and to make your set-up as smooth as possible, we'll need to know a few things. If you will need 220v power, please take a moment before you begin filling out this form to determine your NEMA plug types (click here for a chart). This information is crucial to ensuring we have the proper power for your needs. Please note that three-phase power is not available.  
  • Beverage Offerings: La Crosse Festivals, Inc. has an exclusive agreement with Gillette Pepsi Companies. If you intend to sell soda and water, you are required to purchase these beverages through La Crosse Festivals, Inc. Full details are below.
  • Certificate of Insurance: All vendors are required to provide proof of insurance. You will need to upload a copy of your insurance certificate in order to complete this application.
  • Hours of Operation: All vendors are required to remain open during the core hours listed in the Terms and Conditions section below.   


IF YOU ARE SELECTED TO BE A 2025 FOOD VENDOR, YOU WILL BE REQURED TO DO THE FOLLOWING:

  • Outdoor Mobile Food Vendor License: The City of La Crosse requires all food vendors to have a current Outdoor Mobile Food Vendor License. If you do not have one for the 2025 calendar year, you may obtain one at Outdoor Mobile Food Vendor License | La Crosse, WI (cityoflacrosse.org). 
  • La Crosse County Health Department Requirements:  The La Crosse County Health Department requires a completed Temporary Food Vendor Questionnaire 2025.pdf returned to them by September 17, 2025. If you do not currently have a La Crosse County license, another WI county license, or a Department of Agriculture, Trade, and Consumer Protection (DATCP) license, you will be licensed at the event if in compliance. All vendors must be set up and fully operational for the Health Department public inspection which will take place on Wednesday, September 24th.

Vendor Information


The City of La Crosse and the Wisconsin Department of Revenue require the following information from all vendors at the event. 



Beverage Requirements

All soda, water, and energy beverages sold on La Crosse Festivals, Inc. grounds are covered under an exclusivity agreement with Gillette Pepsi Company of La Crosse. If you will be offering soda, water, and/or energy beverages, please note the following: 

  • Soda and water products are available at a discounted retail cost for food vendors
  • Products must be purchased by the case. Full cases may be returned for a full refund at the close of the event. 
  • Due to this exclusivity agreement, other brands are not permitted on the La Crosse Festivals, Inc. (Oktoberfest) grounds. Failure to follow the exclusivity agreement will result in your operation being asked to leave the grounds immediately, without recourse or refund.
  • Any specialty beverages (i.e. fresh-squeezed lemonade, smoothies, coffee, etc.) should be included in the Product Description section below. All menu and product offerings will be reviewed and approved by the La Crosse Festivals, Inc. Board of Directors.


If you have full and unopened cases, they may be returned to La Crosse Festivals, Inc. for a full refund at the conclusion of the event.




Menu Items / Product Description

Please list and/or describe your menu items and products in detail as well as the selling price for each item.  This helps us promote your products and place vendors properly on the grounds.

You may upload a digital version of your menu and note that in the product description box.



Vendor Space

In 2025, we will offer three different sizes of vendor spaces. Please read all descriptions carefully before selecting your desired option. Each size has different power features and one selection includes additional vehicles. Please "add" the size of your desired vendor space. 

Please note: there is no option for additional square footage to be added as there has been in years past. If your trailer is between a 10 x 10 and 10 x 30 size, you will need to select the larger size.

You will only be invoiced for the amount, if you are selected to be a vendor for 2025.

  • 10' x 10' - $1,000

    10' x 10' - $1,000

    Our 10' x 10' vendor space is $1,000 and includes up to 15 amps of 110V on a NEMA 5-15 receptacle. If you need power other than what is specified, you may be assessed an additional fee, payable before power is supplied. You will only be invoiced if you are selected.


  • 10' x 30' - $3,000

    10' x 30' - $3,000

    Our 10' x 30' space is $3,000 and includes up to 50 amps total of 220v power. Please specify your NEMA plug type below. If you need power other than what is specified, you may be assessed an additional fee, payable before power is supplied. You will only be invoiced if you are selected.


  • 10' x 30' + OPERATIONS VEHICLE - $3,500

    10' x 30' + OPERATIONS VEHICLE - $3,500

    Our 10' x 30' + Operations Vehicle is $3,500 space includes up to 50 amps total of 220v power PLUS room for an additional operations vehicle behind your food truck. If you require a freezer truck on grounds behind your food truck, you must select this option. Operational vehicle must not exceed 30' x 10'. Please specify your NEMA plug type below. If you need power other than what is specified, you may be assessed an additional fee, payable before power is supplied. You will only be invoiced if you are selected.

New this year: every food truck is required to bring their own 50ft extension cord.

Food Truck Information

If you are applying for a food truck space, please fill out the following. You may leave blank if not applying for a food truck space.



Certificate of Insurance

You are required to provide proof of insurance in order to complete this application. Please upload a copy of your insurance below. You may upload most image or document formats such as pdf, png, jpg, doc, etc.


Operational Parking

One parking pass is included with your registration fee. If you would like to purchase additional operational parking passes they are available for $20 each. Please select how many additional parking passes you would like. If you do not need additional, select 0.

This total will be added to your invoice, if selected.


Staff Information

Admission passes for up to three staff members, including yourself, are included with your registration. An admission pass is required to enter the grounds. Additional passes are available at the pre-fest price of $15.00 each. This total will be added to your invoice, if selected.

Please list the names of all individuals who will be working in your booth or truck fest weekend, including yourself.  



2025 Terms and Conditions For Vendors

  1. Compatibility: Oktoberfest USA reserves the right to decline space to any vendor based on space limitations, power limitations, and product compatibility. Should your application be declined, you will receive a full refund for all fees paid to La Crosse Festivals, Inc.
  2. Allotted Space and Power: By purchasing vendor space at Oktoberfest USA, you agree to abide by the space and power limitations as specified above. You also agree that exceeding these limitations will result in additional fees relative to the utility rates charged to Oktoberfest, which must be paid before power is supplied to your space and your operating permit is granted.
  3. Vendor Placement: Oktoberfest USA reserves the exclusive right to assign vendor locations throughout the festival grounds. This placement will be determined at the festival’s sole discretion to ensure optimal layout and flow for the event. Vendors agree to accept their designated locations as assigned and understand that requests for specific spots cannot be guaranteed.
  4. Relocation: Oktoberfest USA retains the right to relocate vendors at any time if deemed necessary for operational, logistical, or safety reasons. Vendors will be notified of any changes as promptly as possible and are required to comply with the new location instructions provided.
  5. Placement Compliance: Vendors must adhere to all placement directives and instructions from festival staff. Failure to comply with placement requirements or relocation notices may result in penalties or removal from the festival grounds without refund.
  6. Compliance: Vendors found to be in violation of our terms and conditions or conducting any business or activities deemed incompatible with the event by the Board of Directors will be asked to leave the grounds without refund or recourse. This includes, but is not limited to protest, political, religious, or any item which is deemed racist, vilifying, sexist, illicit, and/or offensive.
  7. Labor: Any vendor (or their employees, workers, etc.) found to be engaging in forced or underage labor, discrimination, harassment, or violation of health and safety standards will be asked to leave the grounds without refund or recourse.
  8. Power Requirements: If your needs exceed the standard power offerings, you may be required to pay for our electrician to provide the power and connection you require. Vendors are required to bring at least one 50ft extension cord. Please note that three-phase power is not available.
  9. Certificate of Insurance: All vendors are required to provide proof of insurance. Your insurance must provide coverage for the entire time you are at our event.
  10. Beverage Offerings: La Crosse Festivals, Inc. has an exclusivity agreement with Gillette Pepsi Companies. If you intend to sell soda and water, you are required to purchase them through La Crosse Festivals, Inc. If you have full and unopened cases, they may be returned to La Crosse Festivals, Inc. for a full refund at the conclusion of the event.
  11. Health Department Permits: You are required to complete Health Department Permits with the City of La Crosse. Links are provided in the confirmation email we'll send you with your completed application. This is only required, once you are selected to be a vendor.
  12. Set Up: All vendors are required to be set up by 12:00 PM on September 24th, 2025 for the Fire Department Walk Through. Failure to be set up on time will result in a $250 deduction from your payout.
  13. Hours of Operation: All vendors are required to remain open during the core hours. Hours fluctuate based on various events taking place and may change due to weather conditions. Failure to be open during these hours may result in dismissal from the La Crosse Festivals, Inc. grounds and jeopardize your eligibility as a vendor at future events. Oktoberfest reserves the right to adjust each vendors hours based on the service provided.  Please note that the hours of operation have changed since 2024.*

  14. RFID Technology & Point of Sale System: All vendors are required to use the provided POS device while selling on the Oktoberfest grounds. Vendors found to be in violation of this (i.e. using their own POS device or accepting cash will be subject to the following penalty system: 1. Warning, 2. A penalty fee will be deducted from your payout, 3. Vendor will not be welcome back. Each vendor will have the decision of which device they would like to use.
  15. Payouts: Payouts will be processed and sent within 7 business days after the conclusion of the event.
  16. Processing Fees: A processing fee of up to 2.9% + $0.30 will be applied to every transaction. This is a hidden fee to the customer and will not be reflected in the total of the transaction. You may consider adjusting your prices accordingly, if this amount is different from your typical processing fee. Processing fees are deducted from your payout.
  17. Parking: Vendor transportation vehicles must be parked in the designated vendor parking areas. You must always display the parking pass while the vehicle is on-premises. One parking pass is included with your registration.
  18. Camping: No camping or lodging of any kind is allowed on any La Crosse Festivals Inc (Oktoberfest) grounds. You must plan for your own lodging, off-grounds, during Oktoberfest.
  19. Signage/Decoration: Banners and other forms of signage are subject to approval by La Crosse Festivals, Inc. Board of Directors, for both content and mounting methods. You are encouraged to decorate your space reflecting the Oktoberfest/Autumnal theme.
  20. Space Allotment: If you exceed the space you applied for, you will be required to pre-pay the additional space you are occupying. You will not receive power until your space has been paid for. Failure to pay as determined by La Crosse Festivals, Inc may result in removal from the grounds without a refund.
  21. Changes to Terms: These terms are subject to change at any time, without notice.

Please note:  If selected as a vendor for 2025, you will be invoiced for your spot and and additional items noted (parking passes and extra employee wristbands). Your slot will not be confirmed until payment is received by La Crosse Festivals. Payment will be due by May 15th, 2025.
